Meet Shania, Dental Office Manager in Fort Lauderdale
When patients walk into Denteast, I am often the first person they see. When they call our office, I am usually the first voice they hear. But being an office manager is about much more than answering phones, scheduling appointments, or welcoming patients at the front desk.
My role is to serve as a bridge between the doctor, our team, and every patient who trusts us with their care.
A dental office is a complex environment. Behind every appointment is a long list of details that must be coordinated carefully: the patient’s schedule, insurance benefits, treatment needs, financial arrangements, clinical timing, laboratory communication, and follow-up care. When those details are handled properly, patients experience a visit that feels calm, organized, and personal.
That is always our goal at Denteast.
The Voice and Face of the Practice
For many patients, their relationship with our office begins before they ever walk through the door.
It may begin with a phone call about a toothache, a question about dental insurance, or a request for a cosmetic consultation. Some people call feeling nervous. Others may be embarrassed because they have not visited a dentist in several years. Some simply want clear information before deciding what to do next.
As the first point of contact, I want every patient to feel heard and respected from the beginning.
My responsibility is not only to schedule an appointment. It is to listen, understand the reason for the call, answer questions honestly, and help the patient feel confident about taking the next step.
When patients arrive, I want them to feel that they are entering a welcoming environment not a cold or impersonal medical facility. A warm greeting, a familiar face, and clear communication can influence the entire experience.
The Bridge Between the Doctor, Team, and Patients
One of the most important parts of my job is keeping communication moving smoothly between everyone in the practice.
The doctor must be able to focus on diagnosing, planning, and providing excellent clinical care. Our assistants and hygienist need to understand the schedule, the patient’s needs, and the expectations for the day. Patients need clear explanations about their treatment, insurance coverage, financial options, and future appointments.
My role connects all of those pieces.
I help coordinate the daily schedule, communicate changes, present treatment plans, review insurance benefits, arrange payments, follow up with patients, and make sure important information reaches the correct person.
Patients should never feel as though they are being passed from one department to another without anyone taking responsibility. At DentEast, we work together. Even though each team member has a different role, we all contribute to the same patient experience.

At DentEast, we hold daily meetings to review the schedule and prepare for the patients we will be seeing. We discuss special circumstances, treatment needs, timing, financial considerations, and anything else that may help the day run more smoothly.
These meetings allow us to anticipate challenges instead of reacting to them after they happen. They also give every team member an opportunity to communicate and participate.
The way we organize our office directly reflects the care we provide. When the team is informed, prepared, and working together, the patient receives a more comfortable and seamless experience.

Understanding Insurance, Billing, and Treatment
Dental insurance can be confusing, even for patients who have had the same plan for many years.
Part of my job is helping patients understand how their benefits may apply to recommended treatment. This includes verifying coverage, submitting claims, reviewing estimated benefits, communicating with insurance companies, and explaining the patient’s anticipated portion.
We always try to be as transparent as possible. Insurance estimates are not guarantees, because the final decision is made by the insurance company, but patients deserve to understand the information available before beginning treatment.
Treatment presentation is another important responsibility.
A treatment plan is not simply a list of procedures and prices. It represents the doctor’s recommendations for restoring or protecting a patient’s health. My role is to help patients understand the sequence of treatment, scheduling, financial arrangements, and available options without making them feel pressured.
Patients should have the opportunity to ask questions and make informed decisions about their care.
A Human Approach to Our Team
The way a dental office treats its team members has a direct effect on the way patients are treated.
Dentistry can be demanding. Every team member carries significant responsibilities, and the environment can become stressful when communication and mutual respect are missing.
At DentEast, we believe that professionalism and kindness should exist together.
We try to maintain an office culture where people can communicate openly, support one another, and feel valued for the work they do. That does not mean that every day is perfect or that challenges never happen. It means that we address those challenges as people—not simply as job titles.
Our team is not large, but it has been carefully selected. Each person brings a specific skill, personality, and perspective to the practice. In a smaller office, every team member matters, and every interaction contributes to the atmosphere patients experience.
We know one another. We communicate throughout the day. We celebrate successes, solve problems together, and continually look for ways to improve.
Boutique Dentistry Versus a Large Corporate Environment
Large dental organizations can offer convenience, multiple locations, and extensive administrative systems. However, a private boutique practice offers something different: continuity, personal accountability, and a closer relationship between the patient and the people providing their care.
At DentEast, patients are not simply moving through a large system.
They become familiar with the same doctor and the same small team. We remember their preferences, concerns, families, and previous experiences. When they call, they speak with someone who knows the office and can take ownership of their question.
Decisions are made within the practice rather than being filtered through multiple corporate departments. This allows us to remain flexible, responsive, and focused on the individual patient.
Our approach is personal by design.
We want patients to feel that their treatment has been carefully considered—not standardized or rushed. We want them to understand why treatment is recommended, what their options are, and who will be helping them throughout the process.
